The Proposal Coordinator is an entry level position (1-year of experience in a  business setting) supporting the Business Development, Capture Manager and Corporate Leadership in the execution of the proposal process to ensure that proposals are submitted in a compliant and timely manner. The Proposal Coordinator will be trained to develop schedules, assignments, compliance matrices and other tools for each proposal to organize the proposal response process. He or she will be responsible for a variety of related tasks to include but not be limited to maintaining up to date and accurate resumes, content and other materials, control of document versions and input provided from technical writers during a proposal.

Primary Responsibilities:
  • Supports Business Development, Capture Manager, and/or Proposal Manager in executing responses to RFPs, RFIs, Sources Sought, RFTOPs, and other corporate qualification packages to further corporate business growth goals.
  • Full life cycle of proposal coordination, including planning, scheduling and managing competitive proposals. Take end-to-end ownership and command of proposal development and related support processes.
  • Analyzing RFP requirements; executing the proposal schedule, outline and compliance matrix. Manage diverse teams from various prime, subcontractor and consultant organizations. Ensure RFP compliance; perform in a time sensitive environment; write proposal sections as needed.
  • Monitors Federal Web sites for the release of various solicitation documents to include amendments, modifications, etc.
  • Supports proposal layout, formatting and graphics design activities.
  • Helps input edits/comments to proposal documents from Proposal Manager and response team.
  • Coordinates production of final document.
  • Assists with schedule adherence to include obtaining information and inputs from technical resources.
  • Monitors inventory of proposal production supplies and placed order as needed based on proposal schedule.
  • Supports the development of marketing materials, web site material, and other support requested of the department on an as-needed basis.
  • Supports long-term efforts to maintain standardized, complete and up-to-date collection of resumes and past performance as well as other proposal related information.
  • Assures final proposal posted to SharePoint.
  • Assists with kick-off and review meetings, client and partner communication as needed/appropriate.
  • Complies with and enforces the proposal development process throughout each stage of the proposal.
  • Supports other proposal/business development related efforts as needed.
Required Skills:
  • Minimum of 1 year of progressive experience  in a business setting preferably in a fast-paced, deadline driven, high-volume environment
  • Working knowledge of MS Office business applications, Microsoft SharePoint and Adobe Acrobat
  • Familiar with the Federal Government Acquisition lifecycle
  • Able to navigate and search various database web sites with ease
  • Works well under pressure
  • Able to manage multiple deadlines and priorities
  • Bachelor’s degree preferred but not required
